Executive Assistant/Operations Manager
JOB DESCRIPTION:
Create a positive first impression on behalf of the agency. Actively work with all staff members to provide a comfortable, friendly, and effective work environment.
This position handles a variety of tasks daily and responsibilities and duties change with the environment. Flexibility is key as well as being self-motivated.
ESSENTIAL FUNCTIONS & REQUIREMENTS:
· An active Property & Casualty license in the state of South Carolina is required for this position, along with complying with continuing education requirements
· Strong knowledge of AMS360 and independent agency experience is strongly preferred
· Strong attention to detail, ability to multitask, and willingness to help are critical to the success of this position
· Follow up on voicemail messages within 24 hours
· Maintain compliance and follow record keeping procedures including proper file documentation for every contact if applicable
· Manage and oversee all agency operations for multiple locations
· Set up agency management system’s download nightly, review communication log every morning and distribute exceptions report, distribute claims and activity notes report to Licensed CSR, and fix any errors or download issues
· Run and manage suspense reports daily (policies, claims, activity notes, and forms)
· Handle escalated customer calls if Account Manager is unable to resolve issue
· In charge of initial onboarding, including recruitment, job post preparations, reviewing and filtering resumes, conducting initial telephone interviews and reference checks, and drafting offer letters
· Manage and administer training for all agency positions
· Set up new computers and work stations for any new employee and administer logins
· Responsible for correcting and fixing minor IT issues with computer, printer, scanner, fax, postage machine, telephones, and agency systems
· Set up downloads for carriers, claims, activity notes, and policy information and ensure successful download procedure is in place
· Review and report updates on company contracts for renewals as well as new carrier contracts to partner with additional companies
o Sometimes negotiating of contract details is required
· Monitor productivity, track success with agency initiatives, and provide feedback and solutions to the President
· Conduct file audits to ensure compliance with regulations and guidelines for both the agency and carrier involved
· Actively assist and monitor cancellations, DWP/revenue growth and loss, as well as new business to help Account Managers, & CSRs retain, grow, and succeed
· Ensure staff is following up appropriately with requests and audit tasks that have been assigned
· Audit with E&O compliance in mind
· Help manage CE requirements and keep agency licenses up-to-date
· Work closely with the Accounting Manager, President, & Vice President to effectively manage, communicate, and lead Agency in a positive direction
· Additional projects and duties as assigned
Licensed CSR / Receptionist
JOB DESCRIPTION:
We are looking for a someone to create a positive first impression on behalf of the agency; To handle requests in a professional, accurate, and timely manner or direct clients to the proper person and perform clerical duties as assigned; To serve as receptionist and point of contact for all visitors to the office.
This position also assists the producers in the production of new personal lines accounts and the retention of renewing personal lines accounts in keeping with agency goals.
Provides field service to designated account in support of agent activities and maintains high service standards. Secures and submits required renewal underwriting information as needed. Processes change requests for auto ID cards, change confirmations and customer requested cancellations. Actively solicits to improve coverage or round out accounts through cross sell and up sell opportunities to clients at every service contact. Actively provides retention effort to clients in the event of a cancellation. Schedules policy review appointments for the agents. This position is largely focused on servicing current clients.
ESSENTIAL FUNCTIONS & REQUIREMENTS:

- Availability and punctuality are key components to this position and you may be required to arrive early or stay late on occasion
- Unlock and lock doors in accordance with business hours
- Make sure the entryway, waiting area, bathrooms and kitchen are kept presentable at all times
- Answer phones to assist with customer requests, handle mail, email and faxes timely
- Follow up on voicemail messages within 24 hours
- Maintain compliance and follow record keeping procedures including proper file documentation for every contact and proper upkeep of agency management system’s AMS 360
- Process payments, endorsement changes, and issue proof of coverage
- Handle the bank deposit and remittance daily
- Contact clients regarding late pays, policy renewals, and proactively ask if any changes in exposure
- Conduct proper follow-up procedures to help retain accounts
- As needed, may assist with quoting accounts, seeking referrals, and offering multi-line recommendations
- Focus on retention of current accounts and helping gain new business through payment collection, referrals, and observing cross-sell and up sell opportunities
- Assist personal lines Account Mangers and act as backup for other CSR's as needed
